Return and Refund Policy
This Return and Refund Policy applies to products displayed on fabriclook.com, product inquiries, quotation processes, sample requests, fabric orders and related textile products or services provided by Fabriclook.
Fabriclook is primarily a textile sourcing platform serving professional users, commercial buyers, fashion brands, designers, manufacturers, retailers, purchasing teams and companies operating in the textile and fashion industries.
This website is not a standard e-commerce platform where orders are automatically completed and payments are processed directly through the website. The website functions as a product browsing, information and inquiry platform, allowing customers to review products and contact Fabriclook for further details, quotations and order confirmation.
1. Formation of an Order
Viewing products on fabriclook.com, adding products to a request list, submitting an inquiry form or contacting Fabriclook does not, by itself, constitute a confirmed order or a binding sales agreement.
An order becomes valid and binding only after the following details have been reviewed and confirmed in writing by Fabriclook:
The availability and supply status of the product,
The product name, variant, colour, pattern, composition, width, weight and quantity,
The unit price, total price, taxes, shipping costs, customs costs, packaging costs and any other applicable charges,
The minimum order quantity or cutting quantity, where applicable,
The delivery terms, delivery address and shipping method,
The payment method and payment terms,
The written order confirmation, pro forma invoice, quotation approval, invoice or similar commercial confirmation issued by Fabriclook,
The receipt of payment through legal payment channels accepted by Fabriclook, or written acceptance of the agreed payment terms.
Payments are not processed directly through the website. Payments may be collected through bank transfer, international bank transfer, electronic funds transfer or other legal payment methods accepted by Fabriclook.
2. Nature of the Products
Fabriclook may offer stock fabrics, deadstock fabrics, limited-availability fabrics, samples, swatches, sample cuts, custom-cut fabrics and textile products prepared according to customer requirements.
Fabric products may be subject to standard industry tolerances in terms of colour, texture, hand feel, drape, weight, width, composition and surface appearance. Colours and textures displayed on digital screens may not appear exactly the same as the physical product.
For this reason, customers are strongly advised to evaluate the suitability of the product before placing an order, request samples or swatches where necessary, and carry out all required tests before production.
3. General Return Rule
Returns are not processed automatically by Fabriclook.
For professional users, commercial customers and B2B transactions, delivered products may be returned only if a mutual written agreement is reached between Fabriclook and the customer.
No return will be accepted without prior written approval from Fabriclook.
A customer’s change of mind, change of collection plan, change of production plan, incorrect quantity request, incorrect product selection, failure to obtain approval from the customer’s own client, or later decision that the product is not suitable for the customer’s intended use shall not automatically create a right of return.
Fabriclook evaluates each return request individually, taking into account the nature of the product, order type, product condition, whether the fabric has been cut or processed, stock status, alleged defect, intended use and the commercial terms agreed between the parties.
4. Return Request Notification
The customer must notify Fabriclook of any return, exchange or refund request in writing as soon as possible.
Return requests must be sent to:
The return request should include the following information:
Customer name and company details,
Order number, quotation number or pro forma invoice number,
Product name or product code,
Delivery date,
Reason for the return request,
Product quantity,
Description of the alleged defect or issue, if any,
Clear photographs and/or videos showing the current condition of the product,
Packaging, label, batch number, lot number or delivery document details,
Confirmation of whether the fabric has been cut, washed, processed, treated, used in production or otherwise altered.
Return requests submitted with missing information may not be reviewed or may require additional time for evaluation.
5. Conditions for Return Evaluation
In general, products may be considered for return only if the following conditions are met:
The product has not been used.
The product has not been cut.
The product has not been washed.
The product has not been dyed, printed, finished or treated.
The product has not been used in any production process.
The product has been kept in its original packaging or in the same condition as delivered.
Labels, lot numbers, product identifiers and packaging information have been preserved as far as possible.
The product has not been damaged in the customer’s warehouse, studio, workshop or production facility.
The product has not been affected by moisture, odour, stains, sunlight, incorrect storage, cutting, sewing, ironing, washing or chemical treatment.
Fabriclook may request photographs, videos, documents or additional information before approving a return. Where necessary, Fabriclook may request physical inspection of the product.
6. Non-Returnable Products
Unless expressly approved in writing by Fabriclook, the following products are not eligible for return:
Fabrics cut according to customer request,
Products cut to a specific meterage or quantity,
Products specially sourced upon customer request,
Products reserved, allocated or prepared specifically for the customer,
Deadstock or limited-stock products,
Discounted, promotional or specially priced products,
Samples, swatches, sample cuts or fabric cards,
Fabrics that have been cut, sewn, washed, dyed, printed, finished or otherwise processed,
Products used in production,
Products damaged by the customer,
Products that have lost their original condition,
Products damaged due to incorrect storage after delivery,
Products returned due to colour, texture or hand-feel differences where no sample or swatch approval was requested before ordering.
Due to the nature of fabrics and meterage-based textile products, once a product has been cut, allocated or prepared for a specific customer, it may lose its resale value. For this reason, returns of custom-cut or meterage-based orders are subject to Fabriclook’s prior written approval.
7. Defective, Incorrect or Damaged Products
If the customer believes that the delivered product has a visible defect, is the wrong product, has a quantity discrepancy or has been damaged during transport, the customer must notify Fabriclook in writing as soon as possible after delivery.
The notification must clearly describe the issue and must be supported with photographs and/or videos.
After reviewing the claim, Fabriclook may offer one of the following solutions:
Replacement of the product,
Completion of the missing quantity,
A suitable price reduction,
Return of the product,
Refund of the product price,
Another commercial solution mutually agreed by the parties.
If it is clearly established that the issue is due to Fabriclook’s error, incorrect shipment or an accepted product defect, Fabriclook may cover the return shipping costs.
However, if the product has been damaged due to customer use, cutting, production, washing, incorrect storage or third-party processing, Fabriclook reserves the right to reject the return, exchange or refund request.
8. Mandatory Inspection Before Production
The customer is responsible for inspecting the fabric before cutting, sewing, washing, dyeing, printing, finishing or using it in any production process.
This inspection should include, but is not limited to:
Product name and product code,
Colour and pattern,
Meterage and quantity,
Width and weight,
Composition,
Fabric surface,
Visible defects,
Stains, holes, lines, shade differences or production faults,
Suitability of the fabric for the intended use.
Once the product has been cut, washed, sewn, dyed, printed, finished or used in production, any claim will be evaluated only if the alleged defect existed at the time of delivery and could not reasonably have been detected before processing.
9. Colour, Texture and Technical Tolerances
Fabric products may naturally show minor differences due to production batches, dye lots, yarn structure, finishing processes and stock conditions.
Product images on the website are prepared to represent colour and texture as accurately as possible. However, due to screen brightness, device settings, lighting conditions and photography, the physical product may appear different from the digital image.
For this reason, colour, texture or hand-feel differences based solely on the website image shall not automatically be accepted as a valid reason for return.
If colour, texture, hand feel, drape or technical suitability is critical for the customer, the customer is advised to request a sample or swatch before placing an order.
10. Return Approval Process
Submitting a return request does not mean that the return has been accepted.
After receiving the return request, Fabriclook will review the product, order terms, payment status, product type and reason for return.
If Fabriclook considers the return request acceptable, Fabriclook may provide written return approval to the customer. This approval may include:
The product to be returned,
The return quantity,
The return address,
The return shipping method,
The party responsible for return shipping,
The refund amount,
Any deductions or applicable costs,
The refund method,
The estimated refund timeline.
The customer must not send any product back without receiving written return approval from Fabriclook. Products sent without written approval may be refused, returned to the customer or subject to storage and shipping charges.
11. Return Shipping Costs
Return shipping costs will be determined according to the reason for the return.
If the return is due to Fabriclook’s error, incorrect shipment or a product defect accepted by Fabriclook, the return shipping costs may be covered by Fabriclook.
If the return is requested due to the customer’s change of mind, incorrect product selection, incorrect quantity request, change of commercial plan or later decision that the product is not suitable for the intended use, return shipping costs shall be borne by the customer.
For international shipments, customs duties, import/export costs, storage fees, bank charges and other third-party costs will be evaluated separately.
Unless expressly accepted in writing by Fabriclook, cash-on-delivery or receiver-paid return shipments will not be accepted.
12. Refund Conditions
A refund will be processed only after the return request has been approved in writing by Fabriclook and the returned product has been received and inspected by Fabriclook.
If the returned product does not meet the approved return conditions, Fabriclook reserves the right to refuse the refund, issue a partial refund or return the product to the customer.
The refund amount may take into account the following items:
Product price,
Shipping costs,
Customs and import/export costs,
Bank and transfer charges,
Custom cutting or preparation costs,
Sample or swatch costs,
Packaging and handling costs,
Any loss of product value,
Any other commercial terms agreed in writing between the parties.
For returns not caused by Fabriclook’s fault, original shipping costs, return shipping costs, bank fees, customs costs and special handling costs may be deducted from the refund amount.
13. Refund Method
Refunds will generally be made through a legal payment channel compatible with the original payment method.
If the payment was made by bank transfer, electronic funds transfer or international bank transfer, the refund may also be made by bank transfer.
The customer must provide accurate and complete bank account details for the refund to be processed.
Refunds may not be made to third-party bank accounts. For anti-money laundering, tax, accounting and commercial security reasons, Fabriclook reserves the right to refund only to the bank account registered in the name of the customer or company that placed the order.
If mutually agreed in writing, the parties may apply a credit note, account balance or commercial set-off instead of a direct refund.
14. Refund Timeline
After a return and refund have been approved by Fabriclook, the refund will be processed within a reasonable period.
For B2B transactions, the refund timeline may vary depending on accounting checks, product inspection, bank processing times, international transfer procedures and the agreement between the parties.
Refunds approved in writing by Fabriclook are generally processed within [10 / 14 / 30] business days.
For international bank transfers, intermediary bank charges and processing times may be outside Fabriclook’s control.
15. Partial Returns and Partial Refunds
In certain cases, Fabriclook may offer a partial return or partial refund instead of a full return or full refund.
A partial refund may apply in the following situations:
Only part of the product has an issue,
Only part of the quantity is being returned,
Part of the product has been used or damaged,
The product is not returned in its original condition,
The customer requests a solution only for a specific meterage or quantity,
The parties agree on a partial commercial solution.
The amount of any partial refund will be determined based on Fabriclook’s inspection and the written agreement between the parties.
16. Samples and Swatches
Samples, swatches, fabric cards and sample cuts are generally provided for evaluation purposes and are not eligible for return or refund.
Sample and swatch costs are non-refundable unless otherwise agreed in writing.
The supply of a sample or swatch does not guarantee that the final product will be identical in all production batches, stock variations or colour lots. The customer remains responsible for evaluating product suitability before placing a final order.
17. Deadstock and Limited-Stock Products
Deadstock and limited-stock products are, by nature, available in limited quantities and may not be restocked.
For these products, stock quantity, batch differences, colour variations and re-supply options may be limited.
Returns of deadstock or limited-stock products are possible only with Fabriclook’s express written approval and mutual agreement between the parties.
Customers must carefully check quantity, colour, technical specifications and intended use before ordering deadstock or limited-stock products.
18. Custom-Cut and Customer-Specific Products
Products that are cut, allocated, prepared, reserved or specially sourced according to customer request are not eligible for return.
Such products may no longer be suitable for resale or may lose commercial value once prepared for a specific customer.
Therefore, customers must carefully check product details, quantity, technical specifications and intended use before requesting custom cutting or customer-specific preparation.
19. Mandatory Consumer Rights
Fabriclook primarily serves professional and commercial customers.
However, if Fabriclook sells to a person acting as a consumer within the European Union and the transaction falls within applicable consumer protection laws, mandatory consumer rights remain unaffected.
This may include the legal right of withdrawal, legal guarantee rights, remedies for defective goods and other mandatory rights under applicable European Union law and national consumer laws.
For products made to order, cut according to customer request, personalised or specially sourced for the customer, the right of withdrawal may be limited or excluded where permitted by applicable law.
Nothing in this Policy excludes or limits any mandatory rights granted to consumers by law.
20. Rejection of Return or Refund Requests
Fabriclook reserves the right to reject a return or refund request in the following cases:
The product has been used,
The product has been cut or used in production,
The product has been washed, dyed, printed, finished or otherwise processed,
The product has been damaged by the customer,
The product is not in its original condition,
The return request was not made within a reasonable time,
The customer does not provide sufficient information, photographs or documents,
The product was custom-cut or specially ordered,
The product is a sample, swatch or fabric card,
The product is a deadstock or limited-stock item and the return has not been approved in writing,
The customer approved the product details before ordering,
The issue is found not to be caused by Fabriclook,
No mutual written agreement has been reached between the parties regarding the return.
